This handbook is for career counsellors, career directors, and student affairs officers managing the NGCareerPro platform at their institution. It covers your dashboard, student management tools, at-risk alerts, and outcome reporting.
Your Role on the Platform
As a counsellor, you have access to:
- All student profiles and employability scores in your department
- Career assessment results and personality profiles
- Student career roadmap progress
- At-risk student alerts
- Graduate outcome records
- Faculty and departmental outcome reports
You cannot see individual AI Advisor conversation history — only the topics discussed and the overall engagement level.
Getting Started
Logging in
Use the login link from your institution admin or the account activation email you received. Your email is your username. If you need to reset your password, use the "Forgot password" link on the login page or contact your institution administrator.
Navigating the Dashboard
Your main dashboard shows:
- Overview cards — total students, average employability score, assessment completion rate, students at risk
- At-risk queue — final-year students with low readiness scores who need intervention
- Recent activity — students who recently completed assessments or updated their career goal
- Outcome snapshot — current employment and placement data for your cohort
Managing Students
Inviting students
Students are invited via the Student Management section. You can invite individually (by email) or in bulk (CSV upload with name, email, matric number, department). Students receive an activation email with a secure link.
Assigning counsellors
Institutions with multiple counsellors can assign students to specific counsellors by department or faculty. Go to Settings → Staff Management to configure assignments.
Viewing a student profile
Click on any student from the student list to view their full career profile — assessments, career goal, roadmap progress, employability score breakdown, and outcome data.
At-Risk Student Alerts
Act on at-risk alerts within 2 weeks
Final-year students flagged as at-risk have less than 50% employability score. Early intervention significantly improves their outcomes before graduation.
A student is flagged as at-risk when they are in their final year and:
- Employability score is below 50/100, OR
- No career goal has been set with less than 6 months to graduation, OR
- Assessments not completed with less than 4 months to graduation
When a student is at-risk, they appear in your intervention queue. You can schedule a counselling session, send them a direct message through the platform, or contact them via their registered email.
Career Assessments
NGCareerPro includes two validated assessment tools:
- Personality Assessment — 24 questions based on the Big Five / MBTI framework. Results show students' preferred working styles, strengths, and potential blind spots.
- Interest Inventory (RIASEC) — 30 scenarios that map students to the Holland Occupational Themes (Realistic, Investigative, Artistic, Social, Enterprising, Conventional). Results drive career map recommendations.
As a counsellor, you can see each student's assessment scores and how they were mapped to career recommendations. Use these in one-on-one counselling sessions to discuss fit and alignment.
Outcome Reporting
Updating graduate outcomes
Go to Reports → Graduate Outcomes. You can update individual outcomes or import a CSV file with employment data for your entire graduating class. Include: student ID, outcome type (employed/further study/NYSC/seeking), employer name, and start date.
Generating accreditation reports
Go to Reports → Accreditation Report. Select the academic year and click Generate. The PDF report includes employment rates by faculty, industry distribution, NYSC deployment data, and year-on-year comparison. This report is formatted to meet NUC/NBTE requirements.
Exporting data
All reports can be exported as PDF or Excel. Go to Reports and click the export icon. Data exports include all fields visible in the dashboard.
Best Practices
- Run a monthly check on assessment completion rates — push reminders to departments below 60%
- Review the at-risk queue every two weeks during final-year semester
- Update graduate outcomes within 3 months of graduation date for accurate reporting
- Use the AI Advisor's session data to identify topics students commonly ask about — these highlight gaps in your career programming
- Share the annual outcome report with the institution's management and registry
